Position Summary

The Facilities Specialist is responsible for maintaining the physical facility, utilities, and building systems to ensure safe, reliable, and uninterrupted pharmacy operations. This role focuses on day-to-day maintenance, preventative maintenance execution, troubleshooting, and coordination of external service providers. The Facilities Specialist supports Quality and Operations by ensuring facilities and systems remain functional and inspection-ready, without owning regulatory decisions, monitoring programs, or acceptance activities. You’ll have success here if you value clear processes and get, want, and have capacity to do the following things:

  • Facility Troubleshooting and Repairs
    • Identify, troubleshoot, and resolve facility, utility, and building system issues that may affect operations, safety, or continuity. 
    • Escalate issues requiring service/facilities vendor support, management review, or potential operational impact. 
  • Facility, Utility and Building Systems Maintenance
    • Maintain facility cleanliness, safety, and functionality through routine hands-on tasks such as filter replacements, preventative maintenance walkthroughs, and general upkeep and repairs as needed throughout the pharmacy.
    • Coordinate and manage external vendors for HVAC, electrical, plumbing, and other building system repairs, ensuring work is scheduled and completed promptly to avoid operational disruption.
  • Preventative Maintenance Execution 
    • Complete assigned preventative maintenance activities according to approved schedules, SOPs, and work instructions. 
    • Document maintenance activities accurately and ensure overdue, incomplete, or failed maintenance items are escalated. 
  • Facility and Cleanroom Vendor Coordination
    • Coordinate external service/facilities vendors for facility maintenance, repairs, utility services, and cleanroom-related service visits. 
    • Manage scheduling, site access, vendor escorts, and service documentation handoff to Quality or leadership as required. 
  • Documentation and Record-Keeping for Inspection Support
    • Maintain facility-related records, including maintenance logs, work orders, service reports, and vendor documentation. 
    • Support audits and inspections by retrieving records and providing factual, non-interpretive information when requested.

  • Timely response and resolution of facility issues, with no preventable operational downtime due to delayed escalation or inaction
  • 100% on-time execution of assigned preventative maintenance and facility service coordination activities within approved schedules
  • 100% completion and timely routing of facility-related documentation (maintenance logs, service reports, work orders) in audit-ready conditionMaintain a 0% downtime due to unresolved facility issues
  • Resolve any environmental deviations within 24 hours

Experience and Qualifications:

  • Experience in facility maintenance, equipment upkeep, or a regulated manufacturing environment (cGMP, pharmacy, etc.) 
  • Understanding of cleanroom operations and basic HVAC/TCU principles is a plus 
  • Familiarity with preventative maintenance protocols is a plus
